Raising a Complaint

A named contact, committed timelines, and a clear route to escalate if we do not get it right.

Effective 31 August 2026. If you are unhappy with how we have handled your personal information, or with any aspect of our service, this is how to raise it and what we commit to in return.

Who to contact

Complaints go to a named person, not a queue:

Athif Shaffy, Co-Founder & Software Lead
Privacy Officer, The Alpha Nova
1545 Maley Drive, Greater Sudbury, Ontario, P3A 4R7, Canada
info@thealphanova.com · +1 437 424 5384

Write “Complaint” in the subject line so it is routed correctly.

What to include

You do not need to use any particular form or wording, and you do not need to know which privacy principle is involved. Tell us what went wrong.

What we do

  1. Acknowledge within 5 business days, confirming who is handling it.
  2. Investigate, which may mean asking you for detail or reviewing our records and systems.
  3. Respond in writing within 30 days of receiving the complaint, setting out what we found, what we are doing about it, and why. If we genuinely cannot finish in 30 days we will tell you before the deadline, explain why, and give you a date.

We investigate every complaint we receive. If we find we were wrong we say so, correct it, and change whatever allowed it to happen.

If you are not satisfied

You can take a privacy complaint to the Office of the Privacy Commissioner of Canada at any time. You do not need our permission and you do not have to exhaust our process first.
